AI Assistant for Admins

The AI Assistant is available as a separate, licensed product for VisualSP customers and once properly licensed a member of the VisualSP Product team will enable it as a Supported Main Panel Application in the customer’s subscription.

Features

Subscription Admins may verify that the AI Assistant has been added by opening the VisualSP Management Panel and navigating to the Subscription > Features panel and scrolling down to the Supported Main Panel Applications field as shown below:

From there, the Subscription Admin may choose the Default Main Panel Application

Specify the default panel application for the main panel when multiple applications are supported. If not specified then the Help Items panel will be the default.

After selecting a default panel application, the preference is set for the End User experience in the help panel with the default of 1) Help Items and 2) AI Assistant is available to be selected to switch between panel applications in the help panel.

Note

The Default Main Panel Application setting impacts new end users only. Once an end user clicks a panel application, that panel application will be set as their default when the help panel is loaded in the future.

Subscription Admins can review AI Assistant features under Subscription > Features from the VisualSP Management Panel. Supported features are as follows:

3) AI Assistant User Mode – Restricts the visibility of the AI Assistant to the specified user personas for evaluation purposes.

Available modes are listed below

  • All Users – all active users
  • Admins and Editors Only
  • Selected Audiences Only
  • Admins, Editors and Selected Audiences

If the AI Assistant User Mode is set to a value that includes Selected Audiences then the AI Assistant Audiences field becomes visible

Select from available Audiences to complete the mode setting.

4) Maximum Page Scan Count – The maximum number of pages that can be scanned when submitting AI Assistant prompts related to the current document.
5) Maximum Response Count – The maximum number of responses allowed for a single AI Assistant conversation.
6) Maximum Monthly Submission Count– The maximum monthly prompt submissions allowed.
7) Can Create and Edit Custom AI Prompts – If toggled to “Yes” then Subscription Editors and Administrators will be able to create and edit custom AI prompts.

The following are available if 6) is set to Yes

8) Maximum Custom Prompts – Maximum allowable custom prompts that can be created. A value of 0 allows unlimited items to be created.
9) Allow Edit of Global AI Prompts – If “Yes” then the subscription Editors and Administrators will be able to edit copies of existing global prompts. Otherwise, the subscription users will only be able to add and edit new prompts.

Changes to these features may be subject to license restrictions.

Subscription Admins can review AI Assistant settings for capturing analytics related to AI Assistant use under Subscription > Analytics Privacy Settings

10) Capture Suggested Prompts -Suggested prompts are prompts that appear after a user has submitted a predefined prompt. The user may click a suggested prompt to get more information related to the initial prompt. Suggested prompts can be useful in identifying potential modifications to the predefined prompt instructions or with the creation of new prompts. If toggled to “Yes” then suggested prompt text will be stored as part the the usage details available in analytics.
11) Capture User Prompts – User prompts are prompts that the user explicitly types in the AI Assistant chat window. If toggled to “Yes” then user prompt text will be stored as part of the usage details available in analytics.
