Disable Ask Vic Retrieval Augmented Generation (RAG) Tools

VisualSP enhances prompt responses using Retrieval Augmented Generation (RAG) tools, which allow the Ask Vic AI to access supplemental information from various sources such as public websites, internal help items, and Microsoft documentation. While these tools can enrich responses, they may also introduce delays or irrelevant content depending on the context of the prompt. To optimize performance and ensure accuracy, users have the flexibility to selectively disable individual RAG tools based on their specific needs and environment.

To configure the RAG tool options navigate to the Prompt Management panel

  • Open the VisualSP tab as a Subscription Administrator or Editor.
  • Click the MANAGE button to access the list of prompts.

  • Select the prompt you want to edit or create a new prompt.

  • OThere are currently three types of Retrieval Augmented Generation tools that can aid in the Ask Vic prompt response. You can disable any one of these tools or all of them. The following describes the purpose of each tool and why you might want to disable them.

Web Content Fetcher

The Web Content Fetcher RAG tool allows Ask Vic to retrieve and synthesize information from publicly accessible websites. This RAG tool will be automatically called if the Ask Vic AI process determines that, based on the prompt submitted, additional information available from a specific URL may be helpful when responding to the prompt. The URL used for the content download may be explicitly provided by the user or the staged prompt (example: “Summarize the page at https://example.com”) or may be derived based on general information.

Sometimes, especially when the URL is derived, the downloaded content may not be accurate or relevant to the actual submitted prompt. To avoid the additional performance impact of attempting to download the content, as well as the possibility of downloading incorrect information, you may choose to disable the Web Content Fetcher RAG tool entirely.

To disable:

  • Uncheck the box labeled Web Content Fetcher.
  • This prevents the AI from pulling in live web data, ensuring responses are limited to internal or pre-approved sources.
  • Recommended when working in compliance-sensitive environments or when external content may introduce risk or unnecessary delays in response time.

Impact:

  • Reduces variability in AI responses.
  • Ensures tighter control over source material.

The VisualSP Help Item Search RAG tool enables Ask Vic to search across existing VisualSP help items to enrich responses. This RAG tool will be automatically called if the Ask Vic AI process determines that, based on the prompt submitted, additional information from VisualSP provided, or subscription provided, help items may be helpful when responding to the prompt. Using VisualSP help items can be particularly beneficial with prompts that are related to company policies, procedures, or governance or usage of applications that are custom or somewhat unique to the user and their respective company or prompts that can’t be easily answered using generally available information.

Disabling the VisualSP Help Item Search tool is generally appropriate for staged prompts that can’t be assisted by help items, for example, a prompt meant at analyzing the current page or creating content. By disabling the tool you avoid unnecessary calls which can add to the response time; additionally, you avoid potentially introducing unrelated content due to the AI generator incorrectly assuming that the help content is relevant.

To disable:

  • Uncheck the box labeled VisualSP Help Item Search.
  • This restricts the AI from referencing help items outside the current prompt or section.

Impact:

  • Useful when testing isolated content flows.
  • Ensures the AI does not cross-reference unrelated help items.

The Microsoft Content Search RAG tool allows Ask Vic to pull in Microsoft provided documentation (e.g., SharePoint, Teams, Outlook help) that can be used to generate the response. The Ask Vic AI generator will attempt to determine if the submitted prompt is related to a Microsoft product and, if it determines that it does, it will call the tool which will then query Microsoft’s repository of content for any relevant information that can be used to assist with the response.

Sometimes the AI generator will incorrectly associate the prompt submission with a Microsoft product resulting in an unnecessary query that could confuse the results. This can often happen with prompts that request an analysis of the current page’s content – for example, when looking at a Microsoft Dynamics page and asking questions about that page, the generator may attempt to call the Microsoft content repository to get information about Dynamics. Aside from causing additional delays in the response time due to the query, this can confuse the response by providing additional information that isn’t helpful when creating the response.

To disable:

  • Uncheck the box labeled Microsoft Content Search.
  • This prevents the AI from referencing Microsoft’s external help libraries.

Impact:

  • Ideal for custom training environments or when Microsoft content is not relevant to the workflow.
  • Improves prompt response time by eliminating unnecessary external tool calls.

Finalize Changes

After selecting the appropriate checkboxes click Save at the bottom of the prompt editor panel to commit your changes. If you haven’t validated your prompt yet, you may wish to save it as a draft so that you can run some real-world tests before releasing it to your users. n the Prompt Editor page, open the Metadata tab from the left-hand navigation and scroll to the bottom of the section to view the Retrieval Augmented Generation tool settings
