VisualSP’s audience targeting feature allows content editors to create help items and target them to specific users based on their identity or attributes about them.
Setting Up Audiences
Before you can use audience filtering capabilities in Visual SP, you need to set up your audiences. There are two types of audiences: static and dynamic.
Setting Up Static Audiences
To set up a static audience, follow these steps:
- Go to your subscription help tab and click on the ellipsis menu.
- Select “Manage My Subscription” and then click on the “Users” tab.
- Click on the “Audiences” tab and then click on “Add an audience.”
- Name your audience and add users to it manually or in bulk using the “Subscription Users” tab.
Adding Users to Audiences in Bulk
To a large batch of users to a static audience in bulk, follow these steps:
- Export the list of active users in your subscription.
- Tag the appropriate users with the Audience name you want using the Audiences column in the CSV file.
Note: Please use a semi-colon separated list of Audiences in the appropriate field if you wish to include multiple Audiences per user in a single import.
- Import the CSV file back into the Users list.
Setting Up Dynamic Audiences
A dynamic audience is set up to use certain criteria about the users to determine whether they are a member of the audience or not. To set up a dynamic audience, follow these steps:
- Go to the “Manage my subscription” menu and select “Users”.
- Click on the “Audiences” tab and then click on “Create a new audience”.
- Choose “Dynamic” as the audience type.
- Select a property filter based on the attribute you want to use to determine membership in the audience (e.g. email address).
- Set the filter criteria (e.g. email addresses that do not contain a specific domain name).
Using Audiences to Filter Help Items
To use an audience to filter help items, follow these steps:
- Edit a help item and go to the “Filters and Targets” tab.
- Click on the “Audiences” tab and select the audience you want to use.
- Save the help item.
Tips and Best Practices
- Use static audiences for small, specific groups of users.
- Use dynamic audiences for larger groups of users or for audiences based on specific criteria.
- Test your audiences regularly to ensure they are working as expected.
- Use bulk tools to create and manage large audiences.
